Privacy Policy

NexFlow AI ("NexFlow," "we," "our," or "us") is a workflow automation consultancy based in Boulder, Colorado. This Privacy Policy explains what information we collect through nexflowsolution.com (the "Site"), how we use it, and your rights regarding that information.

1. Information We Collect

Contact form. When you submit a contact or inquiry form on the Site, we collect your name, work email address, company name, and job title. You may also include additional details in any free-text fields.

Workflow scoping form. When you use our workflow scoping tool, we collect your name and email address along with any workflow details you choose to share.

Analytics data. We use Google Analytics (via Google Tag Manager) and Netlify Analytics to understand how visitors interact with the Site. These tools may collect your IP address, browser type, pages visited, time on site, and referring URL. Google Analytics uses cookies to track sessions across visits. Netlify Analytics is server-side and does not use cookies or collect personal data beyond what is inherent in web server logs.

Cookies. The Site uses cookies for analytics purposes. See Section 5 for details on managing cookie preferences.

2. How We Use Your Information

  • To respond to your inquiry or scoping request
  • To schedule and conduct discovery calls
  • To send follow-up communications related to a potential or active engagement
  • To understand how visitors use the Site and improve its content
  • To comply with applicable legal obligations

We do not sell, rent, or trade your personal information to third parties.

3. Third-Party Services

We use the following third-party services that may process your information on our behalf:

  • Google Analytics / Google Tag Manager — website analytics and tag management. Google Privacy Policy

  • Anthropic — AI processing for the site's chat assistant and workflow scoping tool. Text you enter into these tools is sent to Anthropic's API to generate responses. We do not store these inputs beyond the session. Anthropic Privacy Policy

Each of these providers maintains their own privacy practices. We encourage you to review their policies.

4. Data Retention

We retain contact and scoping form submissions for as long as they are relevant to an active or potential client relationship, and no longer than three years unless a longer retention period is required by law. Analytics data is retained according to the default retention settings of each respective platform (26 months for Google Analytics 4).

5. Cookies and Tracking

We use cookies through Google Analytics to measure site traffic and usage patterns. On your first visit, a cookie consent banner will give you the option to accept or decline analytics cookies.

  • If you accept: Google Analytics cookies will be set and usage data will be collected.
  • If you decline: No analytics cookies will be set. Netlify's server-side analytics may still record basic server log data (your IP address, page requested, browser) as a normal part of web hosting.

You can change your cookie preference at any time by clicking "Cookie Preferences" in the site footer, or by clearing your browser cookies and revisiting the Site.

6. Your Rights

California residents (CCPA/CPRA). You have the right to know what personal information we collect about you, request deletion of your personal information, and opt out of any sale of personal information (we do not sell personal information). EU/UK residents (GDPR/UK GDPR). If you are located in the European Union or United Kingdom, you have rights to access, correct, erase, and restrict processing of your personal data, as well as the right to data portability and to object to processing. Our legal basis for processing contact and scoping form data is legitimate interest (responding to your inquiry). Analytics are processed based on consent. 7. Data Security

We take reasonable technical and organizational measures to protect your information, including use of HTTPS, access controls on third-party tools, and limiting internal access to client data to necessary personnel.

8. Children's Privacy

The Site is intended for business audiences and is not directed to individuals under 18 years of age. We do not knowingly collect personal information from minors.

9. Changes to This Policy

We may update this Privacy Policy periodically. The "Last updated" date at the top of this page reflects when changes were last made. Continued use of the Site after an update constitutes acceptance of the revised policy.
